The Role

The Food Garden Administrator provides administrative and operational support to the Food Garden, ensuring that activities, resources, produce, and related information are well organised, accurately recorded and effectively coordinated. 

The role supports the smooth day-to-day operation of the Food Garden through effective administration, stock coordination, produce tracking and communication with relevant teams, while also providing practical support when required. 

Key Responsibilities

  • Provide administrative and operational support to the day-to-day running of the Food Garden. 
  • Coordinate and maintain accurate records of planting, harvesting, produce distribution, stock levels, and garden activities. 
  • Capture and maintain relevant information, spreadsheets, reports, and documentation. 
  • Monitor and manage stock levels of seeds, seedlings, compost, fertiliser, tools, equipment, and other garden supplies, and assist with procurement requirements. 
  • Coordinate the collection and distribution of harvested produce to relevant internal departments, ensuring produce is appropriately handled and stored. 
  • Assist with planning and coordinating garden activities, schedules, resources, and materials. 
  • Support volunteers, interns, and other participants involved in Food Garden activities where required. 
  • Provide practical assistance with garden activities and ensure tools, equipment and work areas are kept clean, organised, and appropriately maintained. 
  • Monitor production and wastage and assist with identifying opportunities to improve the efficient use of resources. 
  • Support sustainable food-growing practices and the responsible use of water, soil, compost, and other resources. 
  • Maintain effective communication with relevant internal departments and stakeholders. 
  • Follow all relevant health, safety, hygiene, and environmental procedures and contribute to a safe and well-organised working environment. 

Knowledge, Skills and Qualities

  • Grade 12 or equivalent qualification. 
  • Previous administrative experience will be advantageous, preferably within a food garden, agricultural, horticultural, hospitality or similar environment. 
  • Basic computer literacy, with good working knowledge of Microsoft Word and Excel. 
  • Strong organisational, administrative and record-keeping skills, with excellent attention to detail and accuracy. 
  • Good numerical, planning and time-management skills, with the ability to prioritise and manage multiple tasks effectively. 
  • Good written and verbal communication skills, with the ability to work effectively with different teams, volunteers, and individuals. 
  • Proactive, reliable, and self-motivated, with the ability to work independently and as part of a team. 
  • Practical and hands-on approach, with a willingness to work in an outdoor environment and assist with Food Garden activities when required. 
  • Flexible, adaptable, and willing to learn. 
  • Environmentally responsible, with an interest in sustainable food production, gardening, and nature. 
  • A genuine passion for food, gardening, and sustainable practices.
